We collect personal information including your name, contact details, Social Security Number or Tax ID, date of birth, financial information, business records, and supporting documentation. We also collect billing and payment information, documents you upload through our website or client portal, and information shared during consultations.

When you visit our website, we automatically collect IP address, device information, browser type, pages visited, and use cookies for analytics (see Cookies section below).

How We Use Your Information

We use your information to prepare tax returns, provide bookkeeping and accounting services, deliver fractional CFO consulting, file required forms with tax authorities, communicate with you about services and deadlines, process payments, improve our services, and maintain legal and professional compliance with AICPA standards, state boards, and IRS requirements.

Information Sharing

We do not sell, rent, or trade your personal information.

We share your information only with: (1) third-party service providers necessary for delivering our services (QuickBooks, Drake Tax, A2X, payment processors, client portal, email services, cloud storage), (2) professional advisors when necessary (attorneys, insurance providers, co-counsel), (3) government agencies when required by law (IRS, state tax authorities, in response to subpoenas or court orders), and (4) with your explicit consent.

All third-party providers are contractually bound to maintain confidentiality and comply with applicable privacy laws.

Data Security

We implement comprehensive security measures including SSL/TLS encryption (minimum 256-bit), encrypted storage, regular security updates, firewall protection, password-protected access, two-factor authentication options, automatic session timeouts, employee training on data security, confidentiality agreements, regular security audits, and secure destruction of records.

You are responsible for maintaining confidentiality of your login credentials, using strong passwords, notifying us immediately of unauthorized access, and using secure internet connections.

While we implement strong security measures, no method of internet transmission or electronic storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your information using industry best practices.

Data Retention

We retain information according to IRS requirements (federal tax returns and supporting documents for minimum 3 years, recommended 7 years; payroll and employment tax records for minimum 4 years), professional standards (AICPA, state board requirements, professional liability insurance requirements), and our internal policy (active client records maintained for duration of engagement plus applicable retention periods; inactive client records for 7 years after last service date).

After retention periods expire, we securely destroy information through electronic deletion with overwriting and shredding of physical documents. You may request deletion before the retention period ends, but we may be required to retain certain information to comply with legal or professional obligations.

Client Portal & Email Security

Our secure client portal uses SSL/TLS encryption, encrypted storage, password protection, optional two-factor authentication, automatic session timeout after 15 minutes, audit logs, and virus scanning. We strongly encourage using the portal instead of email for sensitive documents.

Important: Standard email is NOT completely secure. Do not send Social Security numbers, passwords, bank account details, or other sensitive information via unencrypted email. We will never request sensitive information via email.

Your Rights

You have the right to access your personal information, request corrections, request deletion (subject to legal retention requirements), restrict how we use your information, object to certain processing, withdraw consent, and request data portability.

California Privacy Rights (CCPA)

California residents have additional rights including the right to know what information is collected and how it's used, request deletion, opt-out of sale (we do not sell information), and non-discrimination for exercising these rights. Multi-State & International Service

Margin Method CPA, LLC is licensed in Wisconsin (License #3878) and provides services to clients in all 50 states under interstate practice privileges and substantial equivalency provisions. We comply with privacy regulations in all jurisdictions we serve.

Our services are based in the United States. If you are located outside the U.S., your information will be transferred to and processed in the United States. By using our services, you consent to this transfer.

Data Breach Notification

In the unlikely event of a data breach, we will notify affected clients within 72 hours, provide details about what was compromised, explain steps we're taking to address it, offer guidance on protecting yourself, and report to regulatory authorities as required.

Communications between you and your CPA are generally not protected by attorney-client privilege, but we maintain strict confidentiality in accordance with professional standards and applicable law.

Governing Law

This Privacy Policy is governed by Wisconsin law. Any disputes shall be subject to the exclusive jurisdiction of state and federal courts in Wisconsin.
